Fundraising, Raffles, Prizes and Awards
Only University Departments and Student Organizations who have been officially recognized by UWS Student Government may conduct fundraising events. In order to hold a fundraising event, you must fill out the appropriate paperwork and receive approval before the event is scheduled to take place. Please submit the completed paperwork to the UWS Foundation Office (Old Main 237) to initiate the approval process. You will be notified by the Business Office when your event has been approved. The University's Cash Handling Policies must be folllowed during the fundraising event.
Bake sales (cookies, cake, and other cold food) are exempt from the fundraising approval process and can be held at any time, but the University's Cash Handling Policies still apply. Due to the level of risk involved, sales of hot food require advance approval. If you wish to sell hot food, please fill out a fundraising packet and submit it to the Business Office.
ALL RAFFLE TICKET SALES MUST BE MADE FACE TO FACE IN THE STATE OF WISCONSIN (WI State Statute 563.90, 563.905). TICKETS CANNOT BE SOLD OVER THE PHONE, THROUGH THE INTERNET, OR THROUGH THE MAIL. WE CANNOT SELL RAFFLE TICKETS IN ANY U.S. STATE OTHER THAN THE STATE OF WISCONSIN, AND WE CANNOT SELL RAFFLE TICKETS IN FOREIGN COUNTRIES. THE BUYER MUST RECEIVE THEIR PORTION OF THE RAFFLE TICKET AT THE TIME OF SALE OF THE TICKET (WI State Statute 563.03, Game 44.03).
NO IOUs ARE ALLOWED. IN ORDER FOR A TICKET TO BE ENTERED IN THE DRAWING, THE TICKET MUST HAVE BEEN PAID FOR BY THE PURCHASER AT THE TIME OF THE SALE OF THE TICKET (WI State Statute 563.03, Game 44.03).
A raffle (a game of chance where tickets are sold and a drawing for prizes is held) requires special approval before it is held. Please contact the Business Office (Old Main 202) if you wish to hold a raffle. The State Gaming Commission's raffle guidelines must be followed when conducting any raffle. All organizations conducting raffles must follow the University's Cash Handling Policies.

Prizes and Awards - if your organization would like to give out prizes or awards, please fill out the Prizes and Awards Form and contact the Business Office. The funding source of prizes and awards must be appropriate, and the University must comply with all applicable income tax reporting requirements (for more information see UW System Policy Paper F46).
